AquaLabs Terms of Service (End-User Licence Agreement)

Last updated: 9 October 2026
Swedish Law
Stockholm District Court

These terms govern your use of AquaLabs Virtual Desktop and Smart Data Systems (together, “the Service”), provided by AquaLabs Nordic, org. no. 811010-0511, Birger Velinders Väg 2A, 268 31 Svalöv, Sweden (“AquaLabs”, “we”). By creating an account or using the Service on behalf of a business (“Customer”, “you”), you accept these terms.

1. The Service

The Service is a business tool for workshops and small companies. AquaLabs Virtual Desktop handles incoming supplier invoices, work orders, parts and sales orders. Smart Data Systems keeps the archive, invoicing records and customer register. The Service is for business use only, not for consumers.

2. Accounts and access

You are responsible for the people you give access to, and for keeping login details secret. Tell us at once at admin@aqualabs.se if you suspect unauthorised access. We may suspend access that threatens the security or stability of the Service.

3. Your data

You own the data you put into the Service (“Customer Data”). We process it only to provide the Service, on your instructions, as set out in our Data Processing Agreement, which forms part of these terms. When you end your subscription, you can export your data for 30 days; after that we delete it, except records we must keep by law.

4. Integrations

The Service can connect to third-party systems you choose, such as Visma e-conomic. You authorise each connection yourself and can revoke it at any time, in the Service or in the third-party system. Your use of a third-party system is governed by its own terms. We are not responsible for third-party systems or for data once it has been delivered to them.

5. Automated reading and your review

The Service uses automated reading, including AI, to extract lines, prices and totals from documents. Results can be wrong. Drafts sent to your accounting system are drafts: you remain responsible for checking and approving every invoice, order and booking before it is final.

6. Acceptable use

Do not use the Service for unlawful purposes, upload malware, try to access other customers’ data, or overload or reverse-engineer the Service.

7. Fees

Fees, billing period and payment terms follow your order or price agreement with AquaLabs. Prices are excluding VAT unless stated otherwise. We may change prices with at least 30 days’ written notice before your next billing period.

8. Availability and changes

We work to keep the Service available and secure, but do not guarantee uninterrupted operation. We may improve and change the Service. We will give reasonable notice before removing a feature you rely on.

9. Intellectual property

AquaLabs keeps all rights to the Service, its software and design. You get a non-exclusive, non-transferable right to use the Service for your own business while your subscription runs.

10. Liability

The Service is provided as is, to the extent the law allows. Neither party is liable for indirect or consequential loss, such as lost profit or lost data that could have been restored from backup. Our total liability in any 12-month period is limited to the fees you paid us in that period. These limits do not apply to gross negligence or intent.

11. Term and termination

The agreement runs until either party ends it with 30 days’ written notice, or as stated in your order. Either party may end it at once if the other materially breaches these terms and does not fix the breach within 14 days of notice.

12. Changes to these terms

We may update these terms. We will notify you of material changes at least 30 days before they take effect. Continued use after that date means you accept the new terms.

13. Governing law and disputes

These terms are governed by Swedish law. Disputes are settled by Swedish courts, with Stockholm District Court (Stockholms tingsrätt) as the court of first instance.
